The information CED-IADR / IADR collects and the primary purpose

The personal information you provide to CED-IADR / IADR is being collected for legitimate business purposes, which include processing membership and congress registrations or responding to enquiries keeping you informed about new events, products, or offers and providing the best possible service to you. Whenever CED-IADR / IADR processes data for these purposes, CED-IADR / IADR will ensure that Personal Data rights are accounted for and respected. The provision of this information is voluntary. However, if you do not provide the information we request, CED-IADR / IADR may be unable to process your membership, congress registration or respond to your enquiry. All information provided by you will be held in the strictest confidence according to data privacy regulations.

CED-IADR / IADR will only collect the personal information that is necessary for the purposes mentioned above. These data include, but are not limited to, the following:

  • Full name and job title
  • University and address
  • Phone and fax number
  • Email address
  • IADR Region/Division/Section
  • IADR Scientific Group/Network

IADR Groups, Networks, Regions, Divisions and Sections


To provide IADR members with a personalised and valuable service, IADR operates several Groups, Networks, Regions, Divisions and Sections, which require membership. As outlined for the purposes above, IADR will also collect information from data subjects during the membership process.

Information Sharing: With whom IADR shares information and why

IADR adheres to a strict policy according to which IADR does not rent or sell member or congress attendee email lists. IADR will share your information with the Region, Division, Section, Group or Network that you are a member of, to facilitate local and scientific specialty communications.

No list supplied by IADR may be used by anyone other than for the confidential use of the original intent.

GDPR Compliance

CED-IADR / IADR is committed to fully complying with the European Union General Data Protection Regulation (GDPR) (Regulation (EU) 2016/679 in effect as of May 25, 2018).

CED-IADR / IADR respects your right to privacy. CED-IADR / IADR ensures all data is managed lawfully, fairly and transparently. When IADR uses third parties to acquire personal data from our members and attendees, CED-IADR / IADR hold those parties to the same high standard and the same legal requirements.

According to GDPR, you have a right to be forgotten. You also have the right to request your personal data and information related to IADR’s privacy protection policies and processes. Please email CED-IADR at ced.iadr@uzleuven.be and/or IADR at dataprivacy@iadr.org for assistance with any of the above requests.

Security

Appropriate technical and organisational measures are taken against unauthorised or unlawful processing of personal data and against accidental loss or destruction of data.

IADR takes all necessary precautions to protect your information and is compliant with PCI (credit card processing compliance) requirements. When users submit sensitive information (e.g., a credit card number) over the Internet, IADR protects it using encryption, such as the Secure Socket Layer (SSL) protocol. Access to all of IADR users' information is restricted to our offices. Only employees who need the information to perform a specific task, such as processing an event registration, are granted access to personally identifiable information (PII). The servers on which CED-IADR / IADR stores PII are kept in a secure environment.

Correcting, updating or removing your personal information

CED-IADR / IADR will make every attempt to keep your personal data accurate, complete and up to date. If your personal information is incorrect or changes, or if you no longer wish to receive information from CED-IADR / IADR, CED-IADR / IADR will endeavour to correct, update, or remove your information as swiftly as possible.

With respect to membership you may make changes/updates to your personal information by logging into your account at Edit My Profile (IADR website). Here, you will be able to view your personal information that IADR has on file and make any necessary changes. You may also access and correct your Personal Information and Privacy Preferences (such as specifying whether you wish to receive promotional communications) by writing IADR at:

Notification of changes

CED-IADR / IADR reserves the right to amend the Privacy Notice. In such case, the ‘last updated’ datawill be amended accordingly and you will be informed via statement prominently displayed on the website.

Data storage and retention

The personal data IADR retains is stored on IADR servers and on the servers of cloud-based database management services located in United States. IADR discourages the retention of data for longer than it is required.

CED-IADR uses the network of the University Hospitals Leuven (Belgium), which is highly protected and in line with the protection of patient medical records.

Transfer

The Internet is a global environment. The data that IADR collects from you may be transferred to, and stored at international destinations. It may also be processed by international staff or data processors outside this area, who may be engaged in, among other things, the fulfilment of your order, the processing of your payment details, and the provision of support services.

CED-IADR / IADR will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy.

Direct marketing

If you no longer wish to receive newsletters or other promotional emails or printed promotional materials, you may opt out of receiving these communications. You may opt out of promotional emails by following the unsubscribe link placed in the footer of the promotional email (including the CED-IADR newsletter emails). If you want to opt out of receiving printed promotional pieces, please return the printed piece to CED-IADR or IADR with "unsubscribe" marked on it. Or, you can simply contact dataprivacy@iadr.org and ced.iadr@uzleuven.be and ask to be unsubscribed from promotional communications.

Information about children

The CED-IADR / IADR website, Services and Materials are intended for students and professionals in the dental, oral and craniofacial research and healthcare field. CED-IADR / IADR does not knowingly collect any personal information from anyone under 13 years of age.

Third-party sites

The CED-IADR / IADR website contains links to other websites at which Personal Information is collected. In such instances, unless expressly indicated to the contrary, the collection and use of your Personal Information will be governed by the privacy policy applicable to that site. That privacy policy should identify the entity that is collecting your Personal Information and for what purpose your data is being used.

The Terms of Use and other rules, guidelines, licenses, and disclaimers posted via the site or in connection with the materials and services constitute the entire agreement between CED-IADR / IADR and you with respect to your access to or use of the site, materials and services superseding any prior agreements between you and CED-IADR / IADR on such subject matter (including any prior versions of the Terms of Use). CED-IADR / IADR makes the site and the materials and services available for your access and use subject to the Terms of Use. The trademarks, logos and service marks ("Marks") displayed on the site are the property of CED-IADR / IADR or other third parties. CED-IADR and IADR logo are trademarks of the Continental European Division of IADR and the International Association for Dental Research, respectively.

Use of the site and services

You shall pay all costs and charges, including phone charges and telecommunications equipment costs, that you incur to access or use the site, services, and materials. You must adhere to all limitations on dissemination, usage, and reproduction of any materials that you download from the site that are subject to such limitations. You agree to use the services only to access, download, utilise, post, send or receive materials in an appropriate manner as related to the particular materials or services being accessed or used by you. As some examples of improper activities when accessing or using the site, services, or materials, you agree that you shall not:

  • Collect, harvest, mine, or engage in any other activity to obtain email addresses, phone numbers, personal information, or any other information about others.

  • Post or otherwise submit any topic, name, material, or information that is child pornography, harmful to minors, defamatory, excessively violent, harassing, inappropriate, indecent, lascivious, lewd, obscene, profane, racist, unlawful, anti-competitive, or otherwise objectionable.
  • Prepare, compile, use, download, or otherwise copy any site user directory or other user or usage information or any portion thereof, or transmit, provide or otherwise distribute (whether or not for a fee) such directory or information to any third party.
  • Engage in any chain letters, contests, junk email, pyramid schemes, spamming, surveys, or any other duplicative or unsolicited messages (commercial or otherwise).
  • Violate the rights of CED-IADR / IADR or any third party (including rights of privacy and publicity) or abuse, defame, harass, stalk or threaten another.
  • Use any CED-IADR / IADR domain name as a pseudonymous return email address.
  • Market any goods or services for any business purpose (including advertising and making offers to buy or sell goods or services), unless specifically allowed to do so by CED-IADR / IADR.

When using services or materials, you will be subject to any posted guidelines, rules, or licenses applicable to such services or materials, in addition to the Terms of Use. Materials and services provided by third parties (collectively, the "Third-Party services") are governed by separate agreements accompanying such materials and services. CED-IADR / IADR offers no guarantees and assumes no responsibility or liability of any type with respect to the Third-Party services, including any liability resulting from incompatibility between a Third-Party Service, CED-IADR / IADR materials, CED-IADR / IADR provided services, or another Third-Party Service. You agree that you will not hold CED-IADR / IADR responsible or liable with respect to the Third-Party services.

Certain services and materials will only be made available to users who are current CED-IADR / IADR members. Such users may additionally be required to enter into a subscription agreement or other use agreement for that particular service or material. In addition to these Terms of Use, users of any services that include Communications Venues may be required, in CED-IADR / IADR’s sole discretion, to agree to a separate legal agreement on the site or otherwise. CED-IADR / IADR, in its sole discretion, may (but has no obligation to) monitor or review the materials and services at any time. CED-IADR / IADR’s membership benefits, including the site, materials, and services, are intended for your personal and individual use. If you become aware of any unauthorised use of your account or any other breach of security, you shall notify CED-IADR / IADR immediately. If any services or materials allow you to provide password-restricted access to your sensitive information (including customer lists and contractual terms) to other users you have authorised access (the “Authorised Users”), then by providing such authorised access to the site, you consent to CED-IADR / IADR’s display of such information to such Authorised Users via such services or materials and accept all risks of unauthorised access to such information by the Authorised Users. You further acknowledge that CED-IADR / IADR, its agents, affiliates, and employees are not liable for any loss or damage arising from your failure to comply with the Terms of Use. You acknowledge that, in order to keep you informed of CED-IADR / IADR’s business items and events, CED-IADR / IADR will on a periodic basis send email-based communications to you notifying you of such items and events. You agree that receiving these emails is a part of the services and, if you wish not to receive these emails, you must terminate your account.

Restriction and Termination of Use

CED-IADR / IADR may terminate User's account for any of the following reasons: (a) breach of the Terms of Use, (b) requests by law enforcement and other government agencies, (c) user's request, (d) unexpected technical problems, and (e) extended periods of inactivity. CED-IADR / IADR may, at its own discretion, pursue all legal remedies available to it for any breach of the Terms of Use by User or any other rights infringed by User's action. In addition, CED-IADR / IADR may block, restrict, disable, suspend, or terminate User's access to all or part of the site, services, and materials at any time in CED-IADR / IADR’s sole discretion, without prior notice or liability to User.

Waiver of Liability

CED-IADR / IADR does not screen or censor User Submissions content made available on the site. CED-IADR / IADR shall not be liable for any content posted on the site. User assumes all risks associated with dealing with other users with whom User comes in contact through the site. Should a dispute arise between User and another user, User hereby agrees to release CED-IADR / IADR from all claims, demands, and damages associated with such a dispute.

Indemnity

Spam Email and Postings

In the event of your or others' access to or use of the site, services, or materials in connection with the transmission of spam newsgroup postings or unsolicited email in violation of these Terms of Use, you acknowledge and agree that CED-IADR / IADR would be irreparably harmed thereunder and that monetary damages would be an insufficient and ineffective remedy; therefore you agree that CED-IADR / IADR is entitled to obtain immediate injunctive relief against any such transmission (in addition to all other remedies available at law or in equity). CED-IADR / IADR may without restriction block, filter or delete unsolicited emails or posts. The ability to post messages and other User Submissions is a benefit provided to you by CED-IADR / IADR. CED-IADR / IADR may at its sole discretion and without notice remove, delete or deny access to User Submissions.

Advertisements

CED-IADR / IADR may run advertisements and promotions from third parties via the site, services, or materials in any manner or mode and to any extent.
